A conversational onboarding experience was built using a Custom GPT that:

• Prompts users to select one of three onboarding tracks

• Uses company-specific content to deliver guidance, quizzes, and coaching

• Incorporates learning science principles like retrieval practice, mnemonics, and metaphors

• Personalizes conversation using the employee’s name and role

• Injects “just-in-time” facts to keep the tone natural and engaging

Employee Profile

The chatbot is designed for new Store Managers joining Fieldfare Markets. These employees bring operational experience but are often unfamiliar with the company’s unique culture, communication norms, and expectations around feedback, team leadership, and decision-making.

Problem

New hires often struggle to understand organizational culture, role expectations, and unspoken norms, especially on their first day. Traditional onboarding materials are static, impersonal, and lack reinforcement. Fieldfare Markets (a fictitious organization) needed a more engaging, scalable way to accelerate early learning and integration.

Potential Applications

Organizations can modernize onboarding and improve early engagement by using AI-powered, interactive tools. L&D and HR teams can use this chatbot approach to:

• Deliver consistent, role-specific onboarding experiences at scale

• Reinforce core knowledge through retrieval-based microlearning

• Humanize the process by simulating real conversation and decision-making

• Track user interaction patterns to inform future onboarding content

Limitations

• Memory: The GPT can retain personalized data through a long conversation, but not beyond a single session.

• Static content: Without API integration, company updates must be manually refreshed

• Single role application: The current setup is designed as an experiment for a single role; expanding to multiple roles requires duplication or branching logic
